Located in Calgary, Foundations for the Future Charter Academy (FFCA) is the largest public charter school in Alberta, serving over 3500 students in seven campuses throughout the city. We offer educational programming through a distinctive Direct Instruction Teaching and Learning Framework that has been developed within the Alberta context for students from Kindergarten to Grade 12. Our mission is to provide a safe and caring environment where the four pillars of our charter, namely academic excellence, character development, parental involvement and staff leadership are valued and fostered.
 
Reporting to the Secretary Treasurer, the Payroll/Benefits Administrator performs all aspects of preparing and distributing FFCA monthly payrolls for all employees in accordance with Federal, Provincial and FFCA rules and regulations, along with administering the employee group benefits plan and deductions.
 
This position is part-time (0.75 FTE or 30 hours per week) with an immediate start date.  
 
RESPONSIBILITIES:
  • Coordinate and process the payroll of all FFCA employees.  Ensure employees are correctly and appropriately paid in accordance with federal and provincial regulations.
  • Maintain confidentiality of all sensitive matters including employee files, wage garnishments, taxes, payroll reports, and workers’ compensation payments.
  • Implement FFCA’s employment policies and procedures ensuring compliance with employment legislation.
  • Assist in completing various payroll projects by gathering information and generating reports for employees, supervisors or outside agencies.
  • Perform timesheet calculation and data entry, benefit deduction calculations, pay increases, wage garnishments, workers’ compensation payments, direct deposit submission and distribution of pay statements and compilation and disbursement of yearly T4’s
  • Administers, reconciles and or/remits a variety of documents related to employee hires, terminations, retirements and various benefit entitlements including but not limited to:
o    Alberta Teacher Retirement Fund
o    Local Authorities Pension Plan
o    Receiver General
o    Record of Employment (ROE Web)
o    Garnishees
o    T4’s
o    Worker’s Compensation
o    Sun Life Financial Group Benefit Insurance
o    Year End Reports
  • Liaise with group benefit carrier and coordinate benefit information for all staff and applicants of retiree benefits and parental leaves.
  • Compile payroll information utilizing several software applications, including but not limited to Atrieve, MS Word and MS Excel, ATRF, LAPP, Sun Life Financial (Benefits provider) and ROE web system.
  • Maintain records and prepare invoices for substitute teacher replacements along with monthly sub reporting to campuses.
  • Complete monthly bank reconciliations.
  • Process bi-monthly expense processing for all staff.
  • Review procedures and evaluate payroll practices to improve services and accuracy.
  • Assist Secretary Treasurer with yearly audit.
  • Assist all FFCA personnel on payroll and benefits issues with courtesy and in an expeditious manner.
  • Maintain liaison between Human Resources and Payroll.
  • Other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
  • Strong interpersonal skills.
  • Team player.
  • Ability to work with minimal supervision.
  • Ability to meet strict payroll reporting deadlines while exposed to frequent interruptions.
  • Ability to use integrity, good judgment and sensitivity to maintain strict confidentiality at all times.
EXPERIENCE AND TRAINING:
  • Canadian Payroll Association and/or Canadian Benefits Certification.
  • Certificate in accounting, bookkeeping or payroll administration.
  • Three to five years’ successful experience in the complete payroll and benefits process and functions in a large organization.
  • Previous experience in the education sector an asset.
  • Knowledge of Atrieve (education specific software) an asset.
